The Poi Room collects and holds personal information in order to process orders, manage customer relationships, and (where you have opted in) keep you informed about new work, events, and what is happening in-store. This policy explains what we collect, how we use it, and your rights under the New Zealand Privacy Act 2020.

1. What we collect and why

When you place an order, we collect your name, delivery address, phone number, and email address. We use this information to process and fulfil your order, and to confirm delivery. If you are sending a gift to someone else, we collect their delivery details for the same purpose.

When you visit thepoiroom.co.nz, our website and analytics tools (including Google Analytics 4 and Meta Pixel) automatically collect data about your visit, including pages viewed, time on site, device type, and general location. This is used to understand how people find and use the site, and to serve relevant advertising on third-party platforms.

If you subscribe to our email list, we collect your email address and any preferences you set. This is managed through Klaviyo, our email marketing platform.

2. How we use your information

We use your personal information to:

  • process and fulfil orders

  • communicate with you about your order or enquiry

  • send you email updates about new work, events, and offers (only if you have subscribed)

  • improve our website and understand customer behaviour through analytics

  • serve relevant advertising on platforms such as Meta and Google

We do not sell your personal information to third parties.

3. Third parties we work with

To operate our business, we share data with a small number of trusted third-party service providers, including:

  • Shopify (our ecommerce platform, which processes and stores order data)

  • Klaviyo (email marketing)

  • Google (analytics and advertising)

  • Meta (advertising)

  • Ramsys (POS platform)

  • Courier and freight providers (delivery address and contact details, to fulfil orders)

Some of these providers are based outside New Zealand, including in the United States. Where your information is transferred offshore, we take reasonable steps to ensure it is protected to a comparable standard.

4. Cookies

Our website uses cookies and similar technologies to support site functionality, analytics, and advertising. You can manage cookie preferences through your browser settings. Disabling certain cookies may affect how the site functions.

5. Email marketing

If you subscribe to our email list, you will receive updates on new products, exhibitions, and events. You can unsubscribe at any time by clicking the unsubscribe link in any email, or by contacting us directly. We use Klaviyo to manage our email list and will not share your email address with other marketing parties.

We retain order and customer data for as long as necessary to fulfil the purposes described in this policy, to meet our legal and tax obligations, and to resolve any disputes. If you would like us to delete your information, contact us and we will do so where we are not legally required to retain it.

Under the New Zealand Privacy Act 2020, you have the right to:

  • ask what personal information we hold about you

  • request a correction if that information is wrong or out of date

  • ask us to delete your information, where applicable

  • make a complaint to the Office of the Privacy Commissioner if you believe your privacy rights have been breached
